This Privacy Policy provides the privacy practices for the HLSR Community Coalition website (www.hlsrcc.com) including details about information that we collect, use, store, share, secure and otherwise process about users, visitors and Donors to our website (collectively, the “HLSR Community Coalition Site” “HLSRCC Site” or “Site”).The HLSR Community Coalition (“HLSR Community Coalition” or “we” or “our”) is committed to respecting your privacy rights when visiting our Site. Visitors to our Site, individuals that make donations via our Site, and others using our Site are referred to in this Privacy Policy as “you,” “your,” “donor,” or “user” or “visitor.” To inform you about our privacy practices related to your Personal Information, the HLSR Community Coalition details our privacy practices below in this HSLR Community Coalition Privacy Policy (“Privacy Policy”).

 

This Privacy Policy is incorporated into our Terms of Use Agreement for the Site; you must review, acknowledge, and consent to this Privacy Policy and then agree to the Terms of Use.

 

Understanding that Internet technologies are rapidly evolving this Privacy Policy may be modified at any time; if we make material changes to it, we will provide you notice of these changes. If you have any questions about this Privacy Policy and/or any of the privacy practices described here, please contact us (see below).

 

INFORMATION COLLECTED

Information You Provide to Us: While visiting the Site we may ask you to register and/or provide information that personally identifies you (“Personal Information”) for purposes of interacting with the Site, to donate to HLSR Community Coalition, to receive updates, alerts or other news from us, to respond to any of your inquiries or for other uses of the Site. Such Personal Information may include, but is not limited to, your name, phone number, street address and email address; information to process donations including your payment card information.  We may also need to obtain other personal information that may be needed to verify your identify in order to  respond to your inquiries or when you want to exercise privacy rights that may be available to you.  “Personal Information” also includes “Sensitive Information,” which includes data that reveals an individual's racial or ethnic origin, religious beliefs, mental or physical health diagnoses, sexuality, or citizenship or immigration status, genetic or biometric data processed to uniquely identify an individual, personal data collected from a known child (under 13), and precise geolocation data; HLSRCC does not collect and use any “Sensitive Information or share it with any third-parties. Personal Information does not include any Personal Information that has been de-identified, is publicly available information, or is related to employment or job applicant information.

Information Collected from Other Sources: We obtain email lists and other contact information from our affiliate, Houston Livestock Show and Rodeo (“HLSR”)”), of individuals that we think may be interested in learning about, engaging in, and donating to our activities. 

 

Social media information. We may receive information about you through social media links. The data we receive is dependent upon your privacy settings with such social media platforms and is subject to each platform’s respective privacy policies, which you should carefully review to make sure you know how your Personal Information is handled.

 

Automatically Collected Information:  We also automatically collect device, session and interaction information about you when you visit the Site by dropping cookies or similar technologies, including the following categories of information:

 

a. IP Addresses. HLSR Community Coalition does log IP addresses, or the location of your computer on the Internet, for systems administration and troubleshooting purposes, and to determine site usage.

 

Interaction Information. For example, the content you click on or view in our e-mails, the amount of time you spend on our websites, or the referring URL.

Inferred Data: We may use the data that we have collected – directly from you, received from others, and automatically – to combine, compile, and infer new information about you. We and our service providers may infer the following categories of data: contact information, demographic information, financial information, interaction information, and preferences. Please note that some state privacy laws afford residents the right to opt out of profiling or automated decision-making with legal or similarly significant impacts; we do not conduct these activities.

 

WHAT ARE COOKIES?

Cookies are small pieces of text that are placed in your browser by the websites you visit and other parties including the advertising companies and content partners for those sites. Only the company that drops or embeds  a cookie can read it later. You can use the preferences in your browser to view and control the cookies you have. WHY DOES THE SITE USE COOKIES?

The HLSR Community Coalition uses cookies to operate our Site, for security and fraud prevention and to track usage of the Site and further personalize your experience when you are visiting the Site. By tracking usage, we can best determine what features of the Site best serve the users.

  • Essential website cookies: These cookies are strictly necessary to operate our Site and provide you with services available through our Site.

  • Analytics and customization cookies: These cookies collect information that is used either in aggregate form to help us understand how our Site is being used.  Please note that you can opt-out of Google Analytics by going to Google Analytics Opt-out Browser Add-on Download Page and downloading the browser add on. 

  • Social Media Widgets: Our Services may include social media features, such as the Facebook “like” button, Instagram, and/or other widgets. These social media platforms may recognize you and collect data about your visit to our Site. They may set a cookie or employ other tracking technologies. Your interactions with those features are governed by the privacy policies of those third parties, so we recommend that you carefully read those Privacy Policies.

  • You Tube: We use the available privacy functionality in YouTube to display video content on YouTube. We have turned on “Privacy-Enhancing Mode” for YouTube videos displayed on the Site. This means that YouTube does not place cookies on a video embedded on the Site unless you press “play” to view the video.  For more information, please see Google’s privacy practices. YouTube is governed by its own privacy and related policies. Please read them to understand how they may use your information.

 

WHAT BENEFITS DO I RECEIVE FROM COOKIES?

Overall, the use of cookies allows us to operate our site and keep it secure.  Non-essential cookies such as those used for performance, functionality, analytics and customization help to give you a more personalized experience at the Site. The information is used to keep our Site fresh and relevant to you, the user. Cookies also allow you to avoid retyping your email address and password each time you access the Site.

 

MAY I DECLINE TO ACCEPT A COOKIE?

You may decline to accept some or all cookies sent by the Site by selecting an option on your browser to modify or reject cookies (see Cookie Policy and cookie banner on the Site), however, some portions of the Site may require donation form submittal or other information to access certain areas of the Site. In such cases, we ask that you provide us with the information needed to donate or respond to your inquiries.

 

USE OF PERSONAL INFORMATION

We believe in protecting your privacy and will not share Personal Information with third parties outside of the HLSR Community Coalition and our affiliate including Houston Livestock Show and Rodeo, except as described in this Privacy Policy. We believe that we can enhance your experience on our Site with the information you share with us.

 

We use Personal Information about you to process donations, to provide you with information about our advocacy initiatives, updates and ews, to respond to your inquiries. and to exercise your applicable privacy rights.


We also use your Personal Information to improve our advertising and marketing efforts, to statistically analyze Site usage, to improve our content, and to personalize the Site’s content, layout and services, and to help keep the Site secure.  Under applicable Texas law, information collected directly on the Site and used for advertising is NOT “targeted” and is thus permitted; however, you are able to opt-out of any targeted advertising by notifying us using the Contact information.

 

We may de-identify personal information (so that you can no longer be identifiable) to proactively minimize the data in our possession when such identifying data is no longer needed; once information is de-identified, it is no longer considered to be Personal Information under applicable Texas privacy laws. We may also de-identify data to remove it from records that must be retained for legal purposes when you request us to delete your personal data. We may use de-identified data for research purposes, to show the impact of our organization, and for advocacy, fundraising, and other mission-related purposes. When we de-identify data permanently for privacy purposes, we will use it only in its de-identified form and will not attempt to re-identify the information.

 

We may use your personal information to operate, maintain, and enhance the HLSR Community Coalition, and/or with your consent, as permitted by law, as we may notify you, or as otherwise described to you in this Privacy Policy or at the point of collection.

 

We may also use your Personal Information when required by law, to prevent fraud, and to protect our or others’ rights. As a nonprofit organization, we are required to submit donation reports to governmental entities and to comply with other legal obligations. We may use your Personal Information to meet these legal requirements and to prevent fraud or protect our or others’ rights.

 

DISCLOSURES OF PERSONAL INFORMATION

As part of operating the HLSR Community Coalition, we disclose your personal information to affiliates and third parties.

  • Affiliates: We work with our affiliate, Houston Livestock and Rodeo to operate our Site, to purchase email lists and other information about individuals that we think would be interested in our activities and we may share Personal Information with HLSR for these purposes.

  • Third Party Service Providers: We have arrangements with third party service providers, such as website hosting services and credit card processors, to operate our Site, to process donations and for communications and marketing support services. When you sign up to receive information from us on the Site, we may be required to share Personal Information with that service provider in order to provide the service. These third-party providers are not permitted to retain or use Personal Information for any purpose unrelated to providing the service.

  • Legal Requirements: We may share personal data with third parties when required by law or subpoena, or if we reasonably believe that such action is necessary to (i) comply with the law and the reasonable requests of law enforcement; (ii) to enforce our Terms of Use or to protect the security or integrity of our Service; and/or (iii) to exercise or protect the rights, property, or personal safety of HLSR Community Coalition and our employees.

  • Business Transaction: We may take part in or be involved with a business transaction, such as a merger, sale of the organization’s assets or shares, reorganization, financing, change of control, or acquisition of all or a portion of our organization by another organization or third party, or in the event of a bankruptcy or related or similar proceedings. We may disclose Personal Information to a business partner during the negotiation of or in connection with such a transaction, but, to the extent permitted by applicable law, we will only disclose such data upon the third party agreeing to the same or stronger protections of your personal data than are set forth in this Privacy Policy. 

 

YOUR CHOICES AND RIGHTS REGARDING YOUR PERSONAL INFORMATION

Depending on where you reside, and subject to certain legal limitations, you may have some or all of the following rights in relation to the Personal Information we have collected about you.  In general, because the Coalition is a non-profit organization, it is not covered by the applicable Texas privacy laws and may not be covered under other state privacy laws if insufficient user records are collected and used; however, to provide meaningful privacy protection to visitors and donors, we take reasonable steps, including adopting security measures, to ensure that your Personal Informaiton is protected.

 

Please note that some state privacy laws afford residents the right to opt out of profiling or automated decision-making with legal or similarly significant impacts; we do not conduct these activities.

 

The right to opt out/withdraw your consent from marketing. When you sign up for HLSR Community Coalition communications, updates, news, or other advocacy or marketing communications, you can withdraw your consent to these communications at any time by contacting us as indicated in this Privacy Policy. You can also withdraw your consent to these communications via email, by clicking on the “Manage Preferences” button at the bottom of any our emails, or unsubscribing from receiving future emails.

 

You can also opt out of donor communications by contacting us at questions@hlsrcc.com.  Please note that you if you request to be removed from donor lists or you request that we delete records of your donation, we may not be able legally to allow that deletion because we are required to maintain certain donor information to comply with applicable federal/state laws and retain certain information in accordance with our document retention policy.  Please also see below regarding rights to deletion of this information.  Other individuals who are not donors have the right to request deletion of your Personal Information; subject to limitations in applicable law and subject to the rights of other individuals, at your request, we will delete or erase Personal Information concerning you.

 

 

The right to opt out of any targeted advertising: You may have the right to opt out of the use of your Personal Information for targeted advertising purposes. HLSRCC is not conducting any targeted advertising.

 

Your Rights

 

Depending on where you live, you may have specific rights regarding how we collect and use your Personal Information as described below.

 

  1. The right to request access to your Personal Information. You have the right to ask whether or not we collect or process Personal Information about you, and, if we do, to request access to your Personal Information. You have the right to find out what Personal Information we have collected about you, the purpose of the collection and who else we have shared this data with. Your access may be restricted, though, by other people’s rights and interests.

  2. The right to request correction of your Personal Information. At your request, we will correct inaccurate personal data concerning you. You also have the right to ask us to complete Personal Information about you that is incomplete.

  3. The right to request restriction of processing. You have the right to request from us restriction of processing your Personal Information. Please understand, however, that certain Personal Information processing is inherent to how our Site works and if you request its restriction, we may not be able to delete donor records.

  4. The right to request data portability. At your request, you will receive from us the Personal Information that we’ve collected about you, in a structured, commonly used and machine-readable format.

  5. The right to object. You have the right to object at any time to the processing of your Personal Information by us and we can be required to no longer process your Personal Information, If you have a right to object and you exercise this right, we will no longer process your Personal Information.

 

Submitting a Privacy Request: You may submit a request to us (see above potential rights), or authorize another party to do so on your behalf, as follows:

  • Contact us. You may submit a request to us, or you may authorize another party to do so on your behalf, by contacting us at questions@hlsrcc.com.

  • Identity verification. When you or your authorized agent submit a request, we will need to confirm your identity. We may contact you for additional information to verify your identity, which will only be used for the purpose of verifying you.

  • Appeals. If we deny your request, you may appeal our decision within a reasonable period after we have notified you by contacting us at questions@hlsrcc.com. We will review and provide a written explanation for our response in compliance with applicable legal requirements. 

 

LINKS TO OTHER MATERIALS

Third party sites linked to and from the Site, including to social media sites, are not under the control of the HLSR Community Coalition. HLSR Community Coalition shall have no responsibilities or liabilities whatsoever for the content or privacy practices of any such linked site or any link or linking program at any time. HLSR Community Coalition does not endorse companies (or related products or services) to or from which the Site is linked. If you decide to access any of the third-party sites linked to the Site, you do so entirely at your own risk. HLSR Community Coalition hereby disclaims any rights to trademarks, service marks, trade names, logos, copyrights, patents, domain names or other intellectual property interests of third parties.

 

Specifically, we provide social media buttons on our Site that link to our social media pages. These social media pages are not owned or operated by us.  If you click on the social media button, you will be taken to our page on such a media provider. It is your choice whether to log-in using your social media account. These sites are governed by their own privacy and related policies. Social media sites are independent from our Site and are not governed by this Privacy Policy. We encourage you to read the privacy policies and terms of use before using the social media site. We do not review or have any control over their content or endorse any social media sites, content creators or influencers, or the information, software, products or services available on social media. We also have no control over the privacy policies used by social media sites. If you decide to access any of the social media pages, you do so at your own risk.

 

CHILDREN’S PRIVACY

HLSR Community Coalition cares about the safety of children and their use of the Internet. HLSR Site is generally directed to individuals 18 years of and older. Therefore, in accordance with the Children’s Online Privacy Protection Act of 1998, we will not knowingly request or collect personal information from anyone under the age of 13 without verifiable parental consent. In the event that we receive actual knowledge that we have collected such Personal Information without the requisite and verifiable parental consent, we will delete that information from our database as quickly as is practical. If you believe that we have any personal information from a child under 13, please contact us.

 

SECURITY

HLSR Community Coalition maintains industry standard security measures to safeguard the security, integrity, and privacy of the Personal Information that you provide to us, including encrypting all Personal Information that we store or transmit and the use of a secure hosting facility. These security measures are consistent with those recommended by the U.S. National Institute of Standards and Technology (“NIST”).  Importantly, no security system is impenetrable and we cannot guarantee the security of our systems. If Personal Information under our control is compromised as a result of a breach of security, we will take commercially reasonable steps to investigate the situation and, where appropriate, notify those individuals whose data may have been compromised and take other steps to mitigate the situation in accordance with any applicable laws and regulations.
